Aleatica has developed a standard aimed at establishing the principles, processes, documentation, and controls that each Business Unit must follow when purchasing goods, works, and services.
This standard includes several principles designed to ensure that the process is conducted efficiently and transparently:
In procurement processes, a minimum of three interested parties with a homogeneous and sufficient level for contract execution will be invited.
It requires that the call for bids be made known to all interested parties under the same conditions, providing the same information, and that it be received with equal time prior to the day on which the bids are to be submitted. In addition, it requires that the selection be carried out taking into account objective criteria, mainly of a technical (security processes, accredited experience, execution period) and economic nature.
The selection process will take into account criteria of maximum confidentiality. Information provided by companies participating in a selection process may not be disclosed. Similarly, Aleatica will not give Confidential information or that includes Personal Data except when justified and with the prior signing of a Confidentiality Commitment.
Evaluation criteria will be explicitly stated. Furthermore, once the contract is awarded and signed with the supplier, the responsible party will notify the remaining candidates who were not selected.
- All actions in each procurement process will be documented to ensure they are recorded and can be reviewed and verified.
In 2023, 108 suppliers were evaluated on Sustainability criteria.
106 of them presented low risk that did not require additional consideration, and two presented medium risk, requiring a more in-depth analysis to determine appropriate safeguards.
In addition to the above, the purchasing process establishes safety, anti-corruption, confidentiality and personal data protection clauses
for suppliers and contractors, thus ensuring that the structural elements of corporate governance are extended to these third parties. Each of these elements is monitored by those responsible for purchasing and is subject to internal audit processes.
The procurement team closely monitors contractual performance and conducts feedback sessions with contractors and suppliers. Supplier performance is documented in the Single Register of Suppliers based on post-service evaluations.
During the contracting process, the legal department verifies compliance with legal requirements according to the Procurement and Contracting Standard and applicable legislation.
Each purchase follows the approval process defined in the Delegation of Authorities Policy. Audits are conducted to review the design and execution of controls in the procurement process.
To minimize risks, Aleatica enforces a Code of Ethics and Conduct that covers legal compliance, human rights, non-discrimination, occupational health and safety, data privacy, competition, money laundering prevention, and environmental protection. Suppliers sign Aleatica’s Supplier Code of Conduct, which extends the company’s Code of Ethics and Conduct, setting ethical guidelines for suppliers and ensuring adherence to anti-bribery and anti-corruption laws.
Since 2023, Aleatica has been implementing improvements
to this procuring process and that is why it is currently implementing an ESG questionnaire for new suppliers in order to identify risks and opportunities with respect to labor, social, environmental and ethical behavior practices. This allows us to identify areas for improvement and align with ESG principles.
